Check Transactions Utility
This Data Manager utility is used when there is data on the General Ledger that,
perhaps due to power failure-induced data loss, is suspect. An example of this
would be where the Trial Balance doesn't balance.
This routine can only be run when there are no other users on the system.
SETTING UP.
It is important to take a backup copy of your data file before running this
routine.
EXECUTION.
Go to the Data Manager module, Utilities menu, Check Transactions. If you are
sure you know which period, or which account the fault lies within, then enter
that period code in both the to and from fields. If you are in any doubt, it is
advisable simply to click the Find button, and let Daybook check all the data.
A list of transactions will then be presented on screen - hit the Enter key, or
click the tick button on screen, to accept this list.
The Check Transactions dialog will then appear, with various checking options
available to you.
These are self-explanatory, and you should click the boxes that best describe the
problem being experienced. If in doubt, click them all. Click the OK button. You
will be asked whether you are ready to run the first check selected.
Click Yes. When it has finished, you will either see a 'None Found' message, or be presented with a list of transactions which may have a problem.
If you see the 'None Found' message, click OK and proceed to the next check.
If presented with a list, print it out, using the QuickReport button, for future
reference.
If asked whether you want to repost a transaction, do so.
Repeat the above steps for as many checks as necessary.
Depending on the nature of the problems found, you will be able to either use
Journals to rectify the problem, or you will need further assistance from the
Daybook Helpline.

IMPORTANT NOTE
When making any major changes to your data or undertaking processes with which you are unfamiliar, you should always work on a copy of your data, or ensure that it has been backed up, so that you could revert to this, if your changes were to go wrong.
Backups, for a variety of reasons, do not always work, so it is vital to physically check that your backup has been successful and could be restored if necessary before proceeding.
